Teachers in Badgie: onboarding, permissions, statistics and the teacher portal

Quick answer
In Badgie, Teachers is your club's coaching staff: each teacher has their own login (email and password) for the official Badgie app and their web portal, where they take attendance and send badges, notes, photos and reports to their students. The club adds the teacher under Community β Teachers, Badgie sends the login by email or WhatsApp, and under Settings β Teachers the club decides which students they see and what they can change in classes.
In this guide
Where to find it
- Web (club): menu Community β Teachers (/dashboard/teachers), with three tabs: List, Statistics and Worked Hours.
- Permissions: Settings β Teachers (Team and access section).
- Teacher portal: the teacher signs in at badgie.com with their login and sees their own panel (Today, Classes, Attendance, Behavior, Notes, Students, Badges, Reports).
- Badgie app (iOS and Android): the teacher signs in with the same login and gets the day's schedule and quick actions.
- AI agent (Badgie Agentic): it can list teachers, add them and resend their login.
The teacher list
The header shows how many teachers you have and how many are active, how many have installed the app, the badges sent by the team and referred students. Below are the search box (Name, email or mobile) and the Active, Inactive and All filters.
- Columns: Teacher, Contact, Specialties, Badges, Clicks, Referred and App (checked once the teacher has opened the app on their phone).
- Export downloads the list; the Teacher guide button explains what each teacher can do.
- The β― menu on each row has Edit, Deactivate (or Activate), Reset password and Delete.
Adding a teacher
- In Community β Teachers, click New teacher.
- Fill in First name, Last name and Email (required). Optionally add Mobile, ID number, Incorporation Year, a Color to spot them in the calendar, and a photo (Upload) or an avatar (Generate Random Avatar).
- Keep Send email with password and/or Send whatsapp with password switched on so the teacher gets access straight away.
- Click Create Teacher. On first sign-in, the teacher changes the password.
Then assign their classes: each class or group's teacher is chosen when you create or edit the class in the calendar.
Editing, deactivating or unlinking
- Edit: change name, email, mobile, specialties (skills and certifications), bio, ID number and the Active switch.
- Reset password: creates a new password and lets you send it by email, WhatsApp or both.
- Deactivate: the teacher loses access but keeps their history. You can reactivate them from the Inactive filter.
- Delete (unlink): the teacher is deactivated and unlinked from the school; their account and history (classes, badges, certificates) are kept and they can be linked again. If they still have active classes, Badgie won't unlink them: deactivate them first or reassign their classes.
The teacher profile
Opening a teacher shows their class calendar and tabs with everything they have done: Badges, Media, Reports, Notes, Diaries, Feedback (family ratings), Leads and Statistics.
- Impersonate teacher opens Badgie on the web exactly as that teacher sees it.
- Simulate on mobile shows a QR code: scan it with the phone where you have the app signed in as owner or collaborator, and the app opens showing what that teacher sees (to exit, tap "Back" on the purple bar). The QR code expires after a few minutes.
Statistics and hours worked
The Statistics tab shows the year's Team performance: badges, clicks, classes, leads and app usage, a monthly chart and the Teacher by teacher table (badges, clicks, classes, photos, reports, leads, rating and app), sortable by any column.
The Worked Hours tab adds up the class hours taught per teacher and per course over the last month, 3, 6 or 12 months. The colored dot next to each figure shows the share of classes in which the teacher took attendance.
Staff permissions
Under Settings β Teachers you decide, for the whole team at once:
- Access control: All Students (every teacher sees all students) or Assigned Students Only (only those in their classes). The change applies immediately.
- Class settings from the app: whether the coach sees, on each class page, the block with students, enrollments, attendance days, edit, duplicate and collections. When off, they only see the day's tools (attendance, badges, messages and notes).
- Collections per session: whether awarding badges from a session only offers the collections assigned to that session.
- Who creates courses, Editing class series, Editing a single session and Create one-off sessions: whether teachers can create courses, change a whole series, change a single session or add a one-off training. Taking attendance and rating behavior always stay with the teacher.
To give someone on your team access to the club panel (finance, CRM, settingsβ¦), use Collaborators, not Teachers.
The teacher portal
The teacher signs in at badgie.com and lands on Today: their classes for the week, shortcuts (New note, Send badge, Upload photo, Send report, Add student) and a summary with the week's classes, pending attendance lists, 30-day attendance, number of students and notes from other coaches.
In the Badgie app, the teacher sees the day's events with their students, the calendar, badges, the gallery and chat.
What families see
Families don't see the teachers panel. They see what the teacher sends them: badges, coach notes, photos and videos, reports and attendance, in the Badgie app and by email or WhatsApp depending on the club's channels. When the club asks families for feedback, their ratings appear in the Feedback tab of the teacher profile and in the Rating column of the statistics.
By sport
- Swimming, tennis, padel, martial arts and school sports: teachers work by classes and groups; hours worked come from those classes.
- Football (Academy): each team's coaching staff is also managed inside the football module, with its call-ups and matches.
- Golf: golf school teachers use the same portal and app, with the club's golf tools.
With the AI agent
The Badgie agent works with real tools on teachers:
- list_teachers: lists the team and their status.
- create_teacher: adds a teacher.
- resend_teacher_credentials: resends the login.
- get_teacher_workload and get_teacher_agenda: a teacher's workload and schedule.
- get_teacher_notes and get_badge_awards_by_teacher: notes and badges sent by each teacher.
- send_staff_message: sends a message to the team.
Example: "Add Laura PΓ©rez as a teacher with the email laura@club.com and send her the login by WhatsApp".
Frequently asked questions
Can a teacher see the club's finances?
No. Teachers only see their portal and the app. To give panel access by area, use Community β Collaborators.
A teacher hasn't received their login. What should I do?
Open the β― menu on their row and click Reset password: you can resend it by email, WhatsApp or both. Check first that their email and mobile are correct.
Can I limit which students each teacher sees?
Yes: under Settings β Teachers, choose Assigned Students Only and each teacher will only see the students in their classes.
What happens to the history if a teacher leaves?
Deactivate or unlink them: their badges, reports and past classes are kept.
