Collaborators in Badgie: dashboard access by area

Quick answer

A collaborator in Badgie is a person with their own account who enters your club's dashboard (a coordinator, an administrator, a partner). You invite them by email and decide which areas they can enter: day-to-day areas are on and sensitive ones (finance, CRM, settings, staff…) stay off until you grant them.

Where to find it

  • Web: menu Community → Collaborators (/dashboard/collaborators). Only the school owner sees it.
  • The collaborator logs into Badgie with their own account and sees the club dashboard trimmed to their areas, with «Collaborating at …» in the header.
  • AI agent: it also respects areas: for a collaborator without Finance it neither answers about nor acts on payments.

Inviting a collaborator

  1. Click Add collaborator.
  2. Type their email and click Send invitation.
  3. The person receives an email, logs in (or creates an account) and clicks Accept invitation. Meanwhile they appear under Pending invitations, where you can Resend or Revoke.
  4. On accepting they get the school's Default access; afterwards you can adjust it person by person.

Choosing which areas they enter

In Active collaborators, the Modules column sums up what each person has («All», «3 off», «5 sensitive»). Clicking it opens that person's area editor. The Create courses column decides whether they can create courses (Can / Can't).

Community → Collaborators: each row sums up their areas and whether they can create courses.
  • Day to day (on by default): calendar, students, teachers, communications, badges, reports, championships, training, gallery, shop, bookings… Switch off what does not concern them.
  • Sensitive areas (off by default): Finance, payments and expenses · CRM Leads · Modules and integrations · Settings · Badgie billing · Activity · Staff and HR. Grant only what they need.

Default access

The Default access tab stores what every new collaborator receives when accepting the invitation. It changes nothing for those already in: adjust them one by one from the list.

Removing access and reviewing activity

  • From each row's menu, Remove revokes access instantly. If they are also a coach at the club you can choose to remove only the admin access (they stay as a coach) or remove them completely.
  • Declined and expired keeps invitations that did not go through.
  • Activity records who invited, accepted, removed or changed access, and when.

Collaborator management also works on a phone.

Collaborator, teacher or staff

  • Teacher: teaches, uses the coach app and sees their students. Managed in Community → Teachers.
  • Collaborator: enters the club's web dashboard to manage. The same person can be both.
  • Staff (HR): employment records and time tracking for the whole team, in the Staff group of the menu.

With the AI agent

When a collaborator uses the club's AI agent, the agent only sees and changes what their areas allow: without Finance it does not discuss or modify payments, and without CRM it does not see leads. The owner has no restrictions.

Frequently asked questions

How many collaborators can I have?

This screen sets no number: invite the people you need and give each one their areas.

Can a collaborator see the club's payments?

Only if you grant them the sensitive area «Finance, payments and expenses». It is off by default.

The invitation expired, what do I do?

Invite the person again with Add collaborator, or resend the invitation if it is still pending.

Does changing the default access affect people already in?

No. It only applies to collaborators who accept from then on.
