Quick answer
In Badgie you do not have to set up WhatsApp Business: messages to families go out through the official WhatsApp API from Badgie’s number, with Meta-approved templates and your club’s name in the text. Each message carries a button so the family can write to the club’s phone, so the only thing you need to configure is that phone number.
In addition, if the club has a WhatsApp channel, you can connect it so Badgie publishes the posters you approve there, alongside Instagram and Facebook.

Where to find it
- Send WhatsApp: Communications → WhatsApp and App.
- Club phone (reply button): Management → Settings → General info → Phone.
- Club WhatsApp channel: Management → Modules → WhatsApp channel (connection for publishing posters).
- Delivery tracking: Communications → Send Control.
Step by step
1. Get the club phone ready
- Go to Management → Settings → General info.
- Under Contact & location, fill in Phone with the number you want families to write to, and save.
- In the WhatsApp and App wizard, the preview will now show the button to write to the club. If the phone is missing, it warns: “Without a school phone or a link, WhatsApp can’t show the button”.

2. Connect the club’s WhatsApp channel (optional)
- Open Management → Modules and go into WhatsApp channel.
- Paste the club’s channel link (in WhatsApp: open the channel → Channel info → Copy link) and click Save.
- Save our number in your contacts: WhatsApp only lets you choose admins from your contacts.
- Invite us as an admin: in the channel, Channel info → Admins → Add admin, and choose the number you just saved.
- We accept and get connected: the connection is not instant; Badgie checks every so often and you can also click Check access.
What families see
- A WhatsApp with their name, the club name and the message; if it carries a link or image, Badgie uses the matching template.
- A button to write to the club, which opens a chat with the school’s phone.
- If the club connected its channel, approved posters appear published on that channel.
By sport
It works the same for every sport. If your club uses Time tracking, staff can also clock in by writing IN, OUT, BREAK or END BREAK by WhatsApp.
With the AI agent
Badgie Agentic can send a WhatsApp to a teacher, share an Info Badge by WhatsApp or send the information page to a CRM lead, always as a proposal that management approves. It can also publish to the WhatsApp channel the Content Studio posters you approve.
Frequently asked questions
Can I send from my club’s own WhatsApp number?
No. Messages go out from Badgie’s number through the official API; the family replies to your club’s number with the button in the message.
Is there a message limit?
Each club has a monthly limit on WhatsApp messages and cost. If it is reached, Send Control shows it as “WhatsApp limit reached”. The premium module WhatsApp Pro Unlimited (99 €/month) removes the message limit.
Can families reply to the message?
Yes, with the button in the message, which opens a chat with the club’s phone. If the club has no phone configured, the button does not appear.
What is the WhatsApp channel for?
To broadcast posters and news to everyone who follows the channel, just like on Instagram or Facebook. It does not replace individual messages.
