Send a WhatsApp, app and email message to students and families

Quick answer

In Badgie, Communications → WhatsApp and App is the wizard for sending a notice to students, families and teachers in three steps: Who?, The message and When. The same text can go out at once by WhatsApp, as an app notification and by email, and each person receives it only once even if they appear in several lists.

Use it for everyday notices: a schedule change, a closed pool, a match call-up or the opening of enrollments. Everything you send is recorded in Send Control.

Where to find it

  • Web dashboard: side menu Communications → WhatsApp and App (the screen is titled “New notification”).
  • AI agent: Badgie Agentic can prepare specific sends (for example, notifying a teacher or sharing an Info Badge), always as a proposal that management approves.
  • What the family receives: a WhatsApp, a notification in the Badgie app or an email, depending on the channels you choose.

Step by step

1. Who?

  1. Open Communications → WhatsApp and App.
  2. Under Students, click Select students to pick them one by one, or By Smart Tag to add all the active students of a tag at once (for example “Competition team” or “New this season”).
  3. Under Parents & guardians you do the same: they receive the message at their own contact details, not the student’s.
  4. Under Teachers you can add the coaching staff: they receive exactly the same message.
  5. Click Continue. If there are no recipients, the “Something is missing to continue” notice reminds you.

Step 1: choose students, families and teachers. On the right, a preview of what each person will receive.
By Smart Tag dropdown with tags such as Competition team, Federated 2026/27 and New this season, each with its number of students
“By Smart Tag” adds all the active students of a tag, showing how many you are about to add.

2. The message

  1. Under How do you send it?, tick one or more channels: WhatsApp (a short text message to the phone), Email (can use a designed template) and App (a phone alert with a title and one line; it only reaches people who have the app installed).
  2. Write the text. The same text goes through every channel; in “Per-channel tweaks” you can fine-tune each one. WhatsApp has a character limit and does not allow line breaks.
  3. If you like, add an image (JPG or PNG, max 5 MB) or, for email only, PDF/JPG/PNG files (up to 10 MB per file and 15 MB in total).
  4. With Attach something to the message you can include a link: an Info Badge, a badge, a form, a blog post, a meeting point, express enrollment, the school’s feedback page or an external link.

3. When

  1. Choose Send now (it goes out as soon as you confirm) or Schedule (pick a day and time, up to 30 days ahead).
  2. Check the preview and confirm. You can then follow the send in Communications → Send Control.

The wizard also works from your phone’s browser.

What families see

  • WhatsApp: a message with a personalized greeting (“Hi, name!”), the club name and your text. Badgie automatically picks the right WhatsApp template (text only, with image, with link, or with link and image).
  • Reply button: the WhatsApp includes a button to write to the club (“Chat with the club”, or “More info” if it carries a link). For it to appear, the club must have its phone number in Management → Settings → General info; if it is missing, the preview warns “Without a school phone or a link, WhatsApp can’t show the button”.
  • App: a notification with a title and one line, which opens the notice inside the Badgie app.
  • Email: the message with the club’s design and any attachments.

By sport

The wizard is the same for every sport. What changes is how you segment: in swimming or tennis it is usually done with group or level Smart Tags; in football, match call-ups have their own flow inside Youth Academy, and this wizard is kept for general notices to the families of a team or of the whole academy.

With the AI agent

Badgie Agentic (and the “Community manager” specialist that appears at the bottom right of this screen) can help you write the text. It can also prepare specific sends: share an Info Badge by WhatsApp, email or app with your own message, send a WhatsApp to a teacher or a payment reminder by email. Anything that reaches a person stays as a proposal that management approves before it goes out.

It can also look up past sends to answer questions like “how many families did yesterday’s notice reach?”.

Frequently asked questions

If a student is in two Smart Tags, do they get the message twice?

No. Badgie merges all the recipients and each person receives it only once.

Which number does the WhatsApp come from?

From Badgie’s WhatsApp number, using Meta-approved templates and your club’s name in the message. The family replies to the club with the button in the message itself, which uses your school’s phone.

Can I schedule a send?

Yes. In the “When” step choose “Schedule” with a day and time, up to 30 days ahead. Scheduled sends appear under the “Scheduled” filter in Send Control.

Does it reach people who don’t have the app?

The app notification only reaches people who have it installed. That is why it is worth ticking WhatsApp or email as well: in Send Control you will see who received it on each channel.
