Student subscriptions: manage each student's fees

Quick answer

Every fee a student pays is a subscription to a plan. You manage it in the student profile → Finance tab: their subscriptions, receipt history, upcoming charges and who pays with which method.

You can assign a fee, give that student their own price, adjust a single month or end the subscription without touching receipts already issued.

Where to find it

  • Student profile → Finance tab (menu COMMUNITY → Students, open a student).
  • FINANCE → Finance → Payers: who pays each fee, with which method and what is missing before it can be collected.
  • Create charge → Subscription in the Finance header, to assign a fee to one or several students.

Assign a fee, step by step

  1. In the student profile → Finance, press Add subscription (or Create charge → Subscription in Finance).
  2. Pick the fee from the catalogue and the first period to invoice.
  3. If needed, turn on a discount: fixed amount or percentage, with a reason (scholarship, sibling, agreement with the family).
  4. Choose what happens with the charge: send a payment link, leave it pending, or create it as pending without sending anything.
  5. Confirm. The fee is assigned and that period is invoiced; from then on the system generates it.

Shortcut: if the plan is linked to a class, enrolling the student in that class (Add to an event) opens the subscription for them.

Create charge panel with the One-time charge, Subscription, Product and Service options
Create charge asks what you want to charge: a one-off charge with a free amount, a recurring fee, a shop product or a catalogue service.

Own price, a single month or ending it

Open the subscription menu and choose Change price. Badgie asks who it applies to:

  • Only this student, from now on: their subscription gets its own price.
  • Only one month: adjusts that month's receipt; the others stay the same.
  • Every student on the plan: changes the plan price (students with their own price do not change).
  • Back to the plan price: removes the student's own price.

The reason stays in the subscription history, with who changed it and when. To cancel, use End subscription.

Payers: who pays and how

In Payers you see how many payers have automatic charge, payment link, collection by the club or no saved method, and the list with their fees, monthly amount, outstanding balance and last payment. It exports to Excel.

Opening a payer shows their live fees, how they can be charged and their latest payments. Ask for authorisation sends them the request to save a card or direct debit.

What the family sees

In the app, the family sees their child's active fees, what is pending and every receipt with its amount, dates and payments.

Each receipt shows its status, when it was issued and when it is due, the breakdown of items and the payments recorded.

By sport

The same in every sport. Typically: in swimming and football academies, a monthly fee plus the season registration; in tennis, padel and golf, a fee for weekly classes and one-off sessions charged separately.

With the AI agent

Ask “what does Adrián's family owe?” or “who pays the Masters fee?”. The agent uses list_unpaid_invoices, get_top_debtors and get_plan_subscribers. It can also propose marking a receipt as paid (mark_invoice_paid) or emailing a payment reminder (send_payment_reminder); you approve these actions unless Finance delegation is set to automatic.

Frequently asked questions

If I change a student's price, do their past receipts change?

No. Receipts already issued keep their amount; the change applies to the next ones.

Can someone else pay for the student?

Yes. The payer can be the student or a guardian, shown under “Pays for” when you open the payer.

What does “No saved method” mean?

There is no card or direct debit on file: you can collect by transfer, Bizum or cash, or ask them for authorisation.
